Between managing people, handling payroll, planning events, and keeping up with the law, your to-do list is probably a mile long. And just when you think you have everything under control, a new government circular lands in your inbox.

Recently, that new circular is all about the SHe-Box.

If you have been hearing this term thrown around in meetings or seeing panicked posts on LinkedIn, don’t worry. You are not alone. Many organizations are confused about what the SHe-Box is why it has changed and what they actually need to do.

At Kelp, we believe that creating a safe workplace shouldn’t be complicated. So, we are going to break this down for you. No heavy legal jargon, no confusing terms just a simple, step-by-step guide to help you get this done.

Part 1: What is the SHe-Box?

“SHe-Box” stands for Sexual Harassment electronic Box.

Imagine a physical suggestion box or complaint box that hangs on the wall of your office. Now, imagine that box is online, and it is managed by the Government of India (specifically, the Ministry of Women and Child Development). That is the SHe-Box.

It was created to give women in India a safe, direct way to speak up about sexual harassment at work, especially if they feel they can’t talk to anyone in their own office.

But Wait, Didn’t This Already Exist?

Yes, it did. But the government recently gave it a massive upgrade.

In the past, it was just a place to file complaints. Now, the new SHe-Box is a Central Database.

Think of it like a phone book. The government wants a list of every single company in India, along with the details of their Internal Committee (IC) the team responsible for handling harassment complaints.

Why the change? Because the government wants to make sure companies aren’t just saying they are safe, but are actually prepared to help. They want to ensure that every company has an IC set up and ready to go.

Part 2: Why You Should Care (Beyond Just “It’s the Law”)

We know that “compliance” can feel like a chore. It feels like just another box to tick. But registering on the SHe-Box is actually good for you and your company.

Here is why:

 1.  It Connects the Dots If a female employee faces harassment and files a complaint on the government website, the system needs to know where to send that complaint.

  • If you are registered: The complaint comes directly to your company’s IC email. You can handle it internally, quickly, and privately.
  • If you are NOT registered: The system doesn’t know you exist. The complaint might go to a district government officer instead. This brings outside authorities into your internal matters immediately, which can be messy and stressful.

 2.  It Builds Trust When you register, you are telling your employees, “We have nothing to hide. We follow the rules, and we are ready to listen.” It makes your team feel safer.

 3. It Avoids Fines Not following the PoSH Act (Prevention of Sexual Harassment Act) can lead to fines. But more importantly, it can damage your company’s reputation.

Part 3: The “Before You Start” Checklist

Before you rush to the website, take a deep breath. The portal asks for specific details, and it is frustrating if you have to stop halfway to find a document.

Gather these things first:

  • A “Nodal Officer”: This is the person in your company who will be responsible for the online account. It is usually the HR Head or a Compliance Officer. You need their official email ID and mobile number.
  • Company ID: Your PAN card number and GST number.
  • Proof of Business: A PDF copy of your Company Registration Certificate or GST certificate.
  • IC Details: You need the Name, Email, and Phone Number of:
  • Your Presiding Officer (The head of your IC).
  • Your Internal Members.
  • Your External Member (The outsider expert).

Part 4: Step-by-Step Registration Guide

We have broken this down into the simplest steps possible.

Phase 1: Creating Your Account (Head Office)

 1.  Go to the Website: Visit shebox.wcd.gov.in.

 2.  Find the Register Button: Look for a button that says “Registration” or “Sign Up.”

3.  Choose the Right Category: You will see a few options. Since you are a company, select “Private Head Office Registration.” (Do not click on “Government” or “District Officer”).

 4. Fill in the Basics:

  1. Type in your company name.
  2. Enter the details of the Nodal Officer (the person we talked about earlier).
  3. Enter the PAN and GST numbers.

 5.  Upload the Proof: Upload that PDF of your registration certificate.

 6.  Submit: Click the submit button.

Phase 2: The Waiting Game

Now, you wait. You will not get access immediately.

Your application goes to a government officer in your district. They will check your documents to make sure you are a real company.

  • This usually takes 2 to 5 days.
  • Keep checking your email (and your spam folder!).
  • Once approved, you will get an email with your User ID and Password.

Phase 3: Adding Your Team

Hooray! You have your login details. Now you need to tell the portal who is on your safety committee.

  1. Log In: Use the credentials from the email.
  2. Add Your Office: If you have one office, great. If you have branches in other cities, you can add them here as “Sub-offices.”
  3. Enter IC Details: This is the most important part.
  • The portal will ask for the details of your Internal Committee (IC).
  • Type in the names and contact info for your Presiding Officer and all members.
  • Crucial Step: Make sure the email IDs are correct. If a complaint comes in, this is where the notification goes!

And… you are done! You are now officially compliant with the SHe-Box mandate.

Part 5: Common Mistakes (And How to Avoid Them)

We have helped many clients at Kelp with this process, and we see the same small mistakes happening over and over. Let’s save you some trouble.

Mistake #1: Using a Personal Email Don’t use rahul123@gmail.com for the Nodal Officer. Use an official work email like rahul@companyname.com. If Rahul leaves the company, you don’t want the access stuck in his personal Gmail.

Mistake #2: Mixing up the Roles The Nodal Officer and the Presiding Officer are usually different people.

  • Nodal Officer: The Admin. They manage the website login. (Usually HR).
  • Presiding Officer: The Judge. They handle the complaints. (Must be a senior woman).

Mistake #3: Forgetting the External Member You cannot form an IC without an External Member (an outsider expert). The portal will ask for their details. If you haven’t hired one yet, you can’t finish your registration. (If you need an External Member, Kelp can provide one for you!).

Part 6: How Does This Help the Employee?

It is important to understand what this looks like from the other side. If you have a female employee who is facing harassment, here is how SHe-Box helps her:

  1. She logs onto the SHe-Box website.
  2. She fills out a simple form explaining what happened.
  3. She selects your company name from the list (which is why you need to be registered!).
  4. She hits “Send.”

Then what happens? The portal instantly sends an email to your Internal Committee. It says, “Heads up, a complaint has been filed.” Your IC can then contact the employee and start the inquiry process as per your company policy.

It removes the fear of “Who do I talk to?” and ensures the complaint lands on the right desk immediately.

 

Frequently Asked Questions (FAQs)

We know you probably still have a few questions. Here are the answers to the ones we hear the most.

Q: Is this registration mandatory?

A: Yes. The Supreme Court and the Government have made it very clear that companies must register. Many states are issuing notices to companies that haven’t done it yet.

Q: Is there a fee to register?

A: No, it is completely free.

Q: We have offices in Mumbai, Delhi, and Bangalore. Do I register 3 times?

A: Not necessarily. You do one “Head Office” registration. Then, inside that account, you can add your Delhi and Bangalore branches as “child” offices and link their local IC members.

Q: Can we change the details later?

A: Yes! If your Presiding Officer leaves the company or you hire a new HR Head, you simply log in and update the names. In fact, it is your duty to keep this updated.

Q: What if we don’t have an Internal Committee (IC) yet?

A: Then you have a bigger problem than just the portal! By law, if you have 10 or more employees, you must have an IC. You need to set that up first before you can register on SHe-Box.

Q: My registration is “Pending” for weeks. What do I do?

A: This happens sometimes. The District Officer might be busy. You can try finding the contact details of the District Women and Child Development officer in your area and giving them a polite nudge.
